RE-BOOKING EXISTING ACNE CLIENTS
Policy
- Do Not Leave 15-Minute Gaps in the Schedule
- Book appointments back-to-back. For example, if an appointment ends at 11:45 offer that appointment time to future clients, not 12:00.
- Acne Program clients have agreed to come in every 14-21 days so that their skin does not adapt to their skincare regimen. It is the responsibility of the FDC to ensure that this happens. If the client cannot come in within 21 days, a Phone Checkin is required ($55). If the client refuses to come in or have a phone checkin within the 21 day timeframe, this is to be reported to the Program Manager so that they can call the client to discuss.
- The FDC is responsible for reminding the client at each visit to bring their products in with them at each Acne Peel Treatment.
Task
When a client in the Acne Program calls to re-book or finishes their treatment, the Front Desk Associate:

- Navigates to Zenoti schedule

- Receives checkout slip from Esthetician which will indicate the following:

- Client Name
- Service Performed

- Next Appointment in ________ weeks
- Next Service Type
- Technician Initials
- Front Desk Initials

- Finds appropriate Esthetician’s column in Zenoti and offers the first open time slot available with the esthetician as to not create gap

- Right Clicks on requested time slot and select new Appointment.

- Enters the first name and last of the client or enter phone number to see bring up guests name, Select the correct client from the list.
- Enters the service "Acne Peel" and click add service

- Click ‘Add Notes’ and type:

- Treatment number (Ex TX#____)
- Initials of the person booking the appointment goes into ALL appointments

- Clicks ‘Save’
- Reminds client to checkin before their next appointment and to bring their products with them to their next visit.
