OPENING THE OFFICE 

 

Policy

 

  1. The opening employee is to arrive 30 minutes before the first client is scheduled to arrive.

 

  1. The opening employee ensures the office is ready to welcome clients and all tasks are complete 15-minutes before the first client is scheduled to arrive.

 

  1. The opening employee arrives with a key to the office.

 

  1. If there are any problems opening the office, the opening employee contacts the Manager or Owner immediately.

 

 

Task 

 

When opening the office in the morning, the Front Desk Associate or Esthetician:

  1. Unlocks the front office via Key Pad, turns off the Alarm using your appointed alarm code. Then unlocks the shipping room door.
  1. Opens Reception Area
    • Turns on lights- both light switches on the interior wall underneath the alarm keypad, floor lamp by the makeup stand.
    • Plays music, open Sonos app on computer desktop. Selects “Relaxation” or “Spa” radio for both Lobby and TX Rooms.
    • Turns on TV and before and after slideshow
      1. The remote control can be found in corner of the desk
      2. Powers on TV
      3. Clicks button that has the two arrows in center of controller
      4. The selection will already be on ‘multimedia’-click ‘OK’ button
      5. Clicks down arrow to ‘Photo’
      6. Clicks ‘OK’ button
      7. Clicks “Start Slideshow”
      8. Media slides will start
    • Sets chalkboard sign outside of the front door for any current promotions (if applicable and weather permits)
  1. Opens Treatment Rooms
    • Turns on floor lamps in each room (three clicks in TX room 2)
    • Turns on electric blankets on treatment beds (between the months of Sept-April) *if schedule permits
  2. Opens Kitchen
    • Turns on remaining lights- light switch in TX room hallway, the light switch in the back hallway, lights in the esthetician computer area.
    • Puts away any clean dishes from the previous day
  1. Starts Front Desk Computer
    • Opens Chrome- tabs should open with appropriate webpages
      1. Login to Zenoti
      2. Login to Slack using your own account
      3. Check voicemail 
      4. Check Trello for previous day notes
    • Opens Slack; check for any new messages or updates
