MAKING CLIENT NOTES IN INFUSIONSOFT

Policy 

 

  1. All Phone Call Communication, Voicemails, Appointment No-Shows, Order Credits and Client Information is Documented in InfusionSoft Notes

 

InfusionSoft Notes is how we communicate with each other and store important client information. If other team members may need to know information on a client, a note must be made in InfusionSoft. This creates a reference point for easy access.

 

  1. Do Not Record Confidential Client Information in the InfusionSoft Notes

 

  1. Add follow up note after the client has been contacted. Please tag the appropriate team member if necessary.

 

 

Task 

 

When you call or communicate with a client, the Front Desk Associate:

  1. Navigates to the client’s InfusionSoft account
  2. Searches for the relevant client contact in the top right corner

 

 

  1. Opens the Notes section

  1. Clicks “Add Note”
  2. Completes note form:
    • TEMPLATE: leave blank
    • TITLE: briefly describe why you contact the client
    • DESCRIPTION: add more details here that others would need to know if they spoke to this person
    • TYPE: select the form of communication you had with the client
    • NOTIFY: if another team member needs to know about this communication, type their name here.

  1. Clicks “Save”
